Email List Hygiene: The Complete Guide
· 6 min
Why list hygiene is non-negotiable
Your email list decays naturally at a rate of about 22% per year. People change jobs, abandon old inboxes, and switch providers. Without regular hygiene, you're paying to send to ghosts — and those ghosts are actively damaging your sender score every time they bounce.
What to remove and when
Remove hard bounces immediately after the first occurrence. Soft bounces should be retried 2–3 times over two weeks; if they persist, suppress them. Unsubscribes must be processed within 10 business days under CAN-SPAM and immediately under GDPR. Spam complaints should be suppressed instantly — a complaint rate above 0.1% triggers Gmail throttling.
Identifying inactive subscribers
Segment subscribers who haven't opened or clicked in 90+ days. Before removing them, run a re-engagement campaign: one or two emails with a clear subject line like "Are you still interested?" Those who don't engage after the re-engagement series should be archived. This single step can improve your open rate by 20–40%.
The bulk validation step
Before any major campaign — especially to a list you haven't mailed in 30+ days — run the entire list through a bulk email validator. This catches syntax errors, expired domains, full mailboxes, and disposable addresses that slipped through at registration. Aim to keep your invalid rate below 2% before hitting send.
How often to clean
For high-volume senders (100k+ emails/month), validate and clean monthly. Mid-volume senders should do it quarterly. Even if you send infrequently, clean your list at least twice a year. Validate new signups in real time at the point of collection so problems never build up in the first place.
Tools and workflow
A typical hygiene workflow: (1) export your full list, (2) run through a bulk validator, (3) remove hard invalids and disposables, (4) suppress soft-risk addresses from promotional campaigns, (5) import the cleaned list back. Most email platforms support suppression lists natively. Tools like Extras Emporium Email Verifier handle step 2 in minutes for lists up to 250,000 addresses.
