B2B Email Prospecting: Best Practices to Maximize Deliverability
· 6 min
The deliverability challenge in B2B outreach
B2B prospecting involves sending to people who have not explicitly opted into your list. This makes deliverability especially fragile. Corporate email servers are often more aggressive than consumer ones, with strict filtering rules and security gateways. A single poorly configured outreach campaign can get your domain blacklisted within days.
Validate before you send
In B2B outreach, your contact list often comes from LinkedIn scrapes, purchased databases, or manually researched directories. These sources have notoriously high error rates — 20–40% invalid addresses is not uncommon. Always validate every address before sending. Remove hard invalids, catch-all domains that can't be confirmed, and role-based addresses (info@, sales@) that often go unread.
Use a dedicated sending domain
Never send cold outreach from your main company domain. If your prospecting domain gets blacklisted, your entire business email infrastructure is compromised. Use a separate domain (e.g., try-yourcompany.com) for cold email, warm it up properly, and set up SPF, DKIM, and DMARC before sending a single message.
Personalization reduces spam signals
Highly templated emails with the same subject and body sent to hundreds of recipients in bulk trigger spam filters based on content pattern detection. Personalize at minimum the first sentence and the subject line. Spintax variations in your templates help too. Lower volume per day (20–50 emails/mailbox) combined with genuine personalization dramatically improves inbox rates.
Monitor replies and unsubscribes
Always include a clear way to unsubscribe or opt out — even for cold email, this is required under CAN-SPAM. More importantly, positive replies signal to inbox providers that your emails are wanted. Set up tracking to monitor reply rates, and immediately suppress any contacts who say "not interested" or "unsubscribe". Never re-add suppressed contacts.
